Overview:
We seek a proactive and organized Virtual Assistant with strong experience in email and CRM management, travel planning, and document organization. The ideal candidate will support our travel business by efficiently handling email correspondence, managing client and CRM data, and preparing professional proposals and itineraries. This role is perfect for someone who enjoys optimizing workflows and maintaining a well-organized digital workspace.
Key Responsibilities:
*Email Management: Organize, prioritize, and respond to client emails promptly, ensuring all inquiries are addressed.
*CRM Management: Maintain and update client information in our CRM, facilitating seamless client communication and follow-up.
*Proposal and Itinerary Creation: Develop and customize client proposals and itineraries using established templates to ensure a professional and tailored experience.
*Library and Template Organization: Organize, rename, and manage digital document templates and library items for easy accessibility and consistency.
*Contact Management: Save and organize client contact information in Openphone.
*Document Management: Ensure all templates and files are properly named, stored, and easy to locate across various platforms.
Preferred Qualifications:
Proven experience in virtual assistant, CRM management, or travel coordination roles.
Familiarity with some or all of the following tools:
*TESS – Travel CRM management
*Travel Joy – Travel booking and client management
*Travefy – Proposal and itinerary creation
*Flodesk – Email marketing management
*Wix – Website updates and basic editing
*Openphone – Contact management
*Calendly – Scheduling
*Gmail & Google Suite (Sheets, Drive) – Email, document, and data management
*Dropbox – File storage and sharing
Skills & Attributes:
